Every service business loses regulars it never meant to lose. Someone books every month for a year, gets busy, misses a cycle, and never comes back. Usually nobody notices until the month's numbers come in short.

The usual fix is to put someone on it: go down the list, find who has gone quiet, call or message them. It works when it gets done, but it is slow, nobody likes doing it, and it is the first thing dropped when the team is busy. So we hand that job to an agent. We built the first one for a cleaning company we run in Bangkok. The job is deliberately narrow: watch who is overdue for their next visit, and when someone has clearly drifted, write them a message worth reading. Something this specific takes us a few days to build, because we are not trying to make it run the whole business.

TEST

At first it does not contact anyone. It writes its messages into a list only your team can see. Each one is addressed to a real customer, in the language that customer normally uses, and suggests the service that makes sense for them next. You read a couple of weeks of these before a single one goes out, so you know exactly what it would say in your name.

APPROVE

When someone likes a message, they approve it and it sends. When they want to fix a line, they fix it. Nothing reaches a customer until a person says so. A lot of owners are happy to leave it here, with the agent finding the people and a staff member giving each message a quick look before it goes.

AUTOMATE

Once you have watched it for a while and you trust it, you turn on automatic sending. Now it finds the customer, writes the message, and sends it on its own, in your voice, while your team is busy with something else. They never go back to working the list by hand. They just handle the customers who reply.
